Operations Manager

Your responsibilities

Bookkeeping:

  • Control and monitor company expenses
  • Manage open items and handle the accounts receivable process
  • Support monthly, quarterly, and annual financial closings in close collaboration with the finance manager and accountants

Company Operations

  • Oversee the smooth day-to-day running of the company and proactively identify operational risks or inefficiencies
  • Maintain accurate records and asset registers for both site and corporate reporting purposes
  • Manage the corporate insurance portfolio and ensure coverage remains appropriate
  • Collaborate with the HSE committee to ensure a safe and compliant working environment, including coordinating annual health check-ups and company doctor visits
  • Serve as the primary contact for German authorities, public institutions, and regulatory bodies

Project Operations

  • Support the preparation of tenders by collecting and requesting documents from insurers, registries, and other relevant bodies
  • Support cost control and analysis in projects
  • Reconcile project budgets and expenses in collaboration with project management
  • Procure and manage project-specific insurances

General office administration

  • Manage office assets and own relationships with landlords and suppliers
  • Ensure a well-functioning working environment
  • Organise and coordinate internal and external meetings, expos, and team events
  • Create and manage documents and presentations

Your profile

Experience

  • Successfully completed training in Business Operations, Administration, Bookkeeping & Accounting, Project Operations, or similar
  • Several years of professional experience running business operations in a German company, preferably in a project- and engineering-related environment
  • Solid knowledge of accounting and finance software e.g. DATEV, Billomat and/or ERP systems
  • Basic knowledge of project management or experience with project-based work methods is a plus
  • Proven ability to work across all levels of an organisation, from managing directors to junior staff
  • Solid understanding of German corporate administration, insurance structures, and bureaucratic processes
  • Proficient in MS Office (Word, Excel, PowerPoint) and comfortable with cloud-based productivity tools
